AI task reconciliation
Your tasks live in four tools.
Your clients see one.
ClientDoc matches the same work across Asana, Trello, ClickUp and Productive, then gives every client one branded portal to track progress, approve work, and pay.
Free plan covers 2 clients and one integration.
Scene 1 of 4. Task matching. The matching queue is filtered to the seven pairs awaiting review. A Productive task scored 0.71 against a ClientDoc task is accepted, linking the two.
One task, two tools, scored 0.71 — under the auto-accept line, so it waits for you.

The reconciliation tax
Reporting the work costs more than doing it.
In your tools
The same task exists in Productive and Asana under two different names, and neither one is right.
In your inbox
Approvals sit in a thread nobody can find, so delivery waits on a reply that already happened.
On your Friday
Someone exports two CSVs and matches them by hand. Next week, they do it again.
Task matching
Match the same work across every tool you use.
Connect Asana, Trello, ClickUp and Productive, or upload a CSV for anything without an API. ClientDoc compares titles, due dates, projects and assignees, then scores how likely two tasks describe the same work.
- Every candidate pair gets a score from 0.00 to 1.00
- Pairs at 0.85 and above reconcile on their own
- Anything from 0.60 to 0.85 waits for you to decide
- Status changes push back to the tool the task came from
Client portal
One place your client actually checks.
Clients sign in with a magic link — there is no password to forget and no account to create. They land on their own projects, what needs their approval, and what they owe, and never on anything belonging to another client.
- Magic-link sign-in, so onboarding is a single click
- Progress calculated from tasks you already track
- Viewer, collaborator and approver roles per client contact
- Every query is scoped to one tenant and enforced by row-level security
Requests & approvals
Approvals that can't get lost in a thread.
Clients submit requests through forms you build once and reuse. Route each one through an ordered chain, so the next approver only unlocks when the previous one signs off — and delivery can't quietly proceed without them.
- Build request forms once and reuse them per client
- Order the approval chain; only the current step can act
- Asking for changes halts the chain instead of skipping it
- SLA timers count down on every open request
Request changes at any step and the chain stops here.
Agreements & invoices
Sign the agreement and settle the invoice in the same place.
Send an agreement for signature and watch it move from sent to viewed to signed. Raise the invoice against the project it belongs to, and let the client pay by card without leaving the portal.
- E-signature with a timestamped record of who signed and when
- Card payments through Stripe or Paystack, in your currency
- Reminders go out before the due date and after it passes
- Paying marks the invoice settled and tells the client and you
White-label
It’s your studio’s portal, not ours.
Upload your logo, set your colours and pick your typeface. Your clients see your brand on the portal, the intake form, the signature page and the invoice — the ClientDoc name only appears on the free plan.
- Logo, colour and typeface set once in settings
- Branding carries through intake, signing and payment pages
- Each organisation keeps its own theme, on the same account
- Custom domains and unlimited branding on paid plans
How it works
Five steps, then it runs itself.
Setup is a one-time cost. After the first project, the loop repeats without you rebuilding it.
- 01
Connect your tools
Authorise Asana, Trello, ClickUp or Productive. ClientDoc pulls tasks on a schedule, and you can refresh on demand.
- 02
Invite the client
Send a magic link. They complete a short intake form — company, goals, budget, stakeholders — and their profile builds itself.
- 03
Kick off the project
Create the project and its tasks, or let matching fill them in from the tools you just connected.
- 04
Work, request, approve
Clients raise requests and approve deliverables in their portal. Messages and file versions stay attached to the work.
- 05
Invoice and get paid
Raise the invoice against the project, send it, and let them pay by card. Reminders handle the follow-up.
Also included
- Secure file vault
- Drag-and-drop uploads scanned on arrival, versioned when a name repeats, and served through short-lived signed links.
- Threaded messaging
- Conversations attached to a project or request, delivered in real time, with unread counts and per-thread mute.
- Project timeline
- Every approval, upload, invoice and sync lands on one chronological record you can hand to a client.
- Kanban and tasks
- Six-column board with subtasks, comments, reactions, watchers and @mentions. Bulk actions when the board gets long.
- Reports
- Delivery and payment activity across clients, exportable when you need to send it on.
- Multiple organisations
- Run separate brands or entities from one login, each with its own clients, branding and members.
Security
Built for data you don't own.
Your clients' contracts, files and invoices live here. These are the controls that are in the product today.
Tenant isolation
Every table carries a tenant id and enforces row-level security in the database. Application queries scope to the tenant as well, so isolation does not depend on one layer being right.
No passwords to leak
Sign-in is by magic link. ClientDoc never stores a client password, and clients never create an account to use their portal.
Roles and permissions
Team members are admins, managers or members. Client contacts are viewers, collaborators or approvers. Permission is checked on the server for every action.
File handling
Uploads are scanned before they can be downloaded, stored in a private bucket, and reached only through signed links that expire within the hour.
Audit and timeline
Significant actions write an audit record and a timeline event — who did what, to which record, and when.
AI you can switch off
Matching and AI assistance run behind a per-organisation switch. Turn it off and no task content is sent to a model.
Who it's for
Built for teams who bill for delivery.
Agency owners
You run delivery in Productive and Asana and you are tired of the two disagreeing. Matching keeps them aligned, and clients get a branded portal instead of a status email.
Multi-integration · white-label
Solo consultants
You are juggling several clients across docs, Trello and chat. Collect requests in one place, track the work, and get paid without building a system first.
Free plan · 2 clients
Account managers
You coordinate delivery across accounts and need a client-safe surface. Share progress and approvals without giving anyone access to your internal board.
Roles · SLA timers
Professional services
You run recurring compliance and reporting cycles. Reusable request templates, ordered approvals and versioned documents keep each cycle auditable.
